Reimbursement - Cash

Kavli ITS will provide partial or full financial support to our visiting scholars and invited guests, in accordance with the UCAS and government regulations. The percentage and reimbursement details should refer to and be stated clearly on your invitation letter issued by Kavli ITS.

 

 

For Overseas & Taiwan Visitors

Note:It is highly recommended for you to possess a Chinese bank account, which will make it much easier and safer to get your reimbursements, if you are a frequent visitor to China. To get a Chinese bank account please consult any bank branches in China or contact us for details. We will help our distinguished visitors and senior fellows to get their own Chinese bank accounts.

 

If you do not have a Chinese bank account, we will pay your reimbursements by cash. You should make early appointment with your inviter or the program host and submit all the required documents (please find the check-list as below) to us before your visit. We will cover all your expenses in the currency of Chinese Yuan (CNY) and the exchange rate will be based on the date of your tickets receipt or the day of your arrival. The amount will be rounded down to decade, or tens (For example, CNY 999.99 will be rounded to CNY 990.00).

 

International Air tickets reimbursements:

You should provide the following documents in advance if you need us to cover your international airfare:

  1. A PDF version of the Itinerary or the e-invoice of your flights
  2.  Please bring the original boarding pass of your arriving flight (from XXX to Beijing) and give it to us after you arrive, or send the electronic boarding pass in PDF version to us. Please note that we may not able to cover your flights if we do not have your coming boarding pass.
  3. A copy of your passport (identity page)

 

Domestic air tickets:

If you need to travel inside Mainland China by air and have it covered by us, please inform us to buy the tickets for you. Please note that we CANNOT cover any domestic flights bought by individuals, according to the government regulations.

Domestic train tickets:

For Chinese bank account holders: If you are travelling inside Mainland China by train please MUST print out the train tickets and give (or send) the original tickets to our admin office. We need both your coming and leaving tickets as a round trip.

 

For Non-Chinese bank account holders: please inform us in advance and we will help to book train tickets for you.

 

A copy of your passport (identity page)  is also needed.

 

Hotels:

If we agreed to help to make reservations and cover your hotel expense, you may check in directly with your hotel confirm letter. Hotels may ask for a deposit as we only pay for basic room fees and any other extra expenses occurred during your stay will be taken from the deposit you paid.

Other reimbursements:

Please contact us if you need to proceed other kinds of reimbursements.

 

 

For Domestic (Mainland China, Hong Kong & Macao) but non-Beijing Visitors:

We will proceed all the reimbursements to your Chinese bank account, which is much safer and highly recommended. Please contact us if you do not have a Chinese bank account.
